At Malt, you can have it all. How? By managing your business in one safe and secure place. Malt enables clients and freelancers to engage and work with each other, working the way that they want, by following three important principles:

The checking of the freelancer’s legal documents:

  • In order for freelancers to receive payment on Malt, it's mandatory that they share certain documents which allows us to verify that they are in good legal standing. In order to verify that freelancers are eligible to work, we collect all relevant necessary documents. This protects both our freelancers and our clients.

  • You can start working on Malt without having fully completed this document check. However, we do require this information to send payment your way, so it's important to get it completed as soon as possible.

  • In order to protect our community of freelancers and to allow our clients to call on them with complete peace of mind, Malt and Markel insure the liability of the freelancers offering their services via Malt.

  • All projects contracted via the platform are therefore automatically insured! If you find yourself in an unfortunate situation, be it damage to a database or an incident at the freelancer's workplace, this insurance is there to protect you.

Project types

Malt can be used for both short-term and long-term projects, to support a wide range of projects and client needs.

Short term

A short-term project is ideal for a “one-off” project, meaning a specific need (e.g. writing an article) or for a project duration of up to a month. This type of project can be modified at any time until the client validates the completion of the project. for a short-term project, we suggest that a freelancer invoices their deliverables rather than time spent.

The process for a short-term project:

  • The client contacts the freelancer(s)

  • They discuss the client’s needs and the freelancer sends a quote

  • Once the client accepts the quote, the proposal officially becomes a project on Malt

  • The freelancer then works on the project according to the time frame that was discussed with the client

  • Once the project is completed, both parties confirm that it's done on Malt and an invoice is then generated

  • The freelancer is paid within ten days, following those confirmation that the project is complete from both parties

  • The client and freelancer can then leave a review for each other within 30 days

If your project last more than a month, it's important to note that you will usually get paid at the end of the project. It's worth considering whether you could divide your project into several quotes, or seeing your client is eligible to select a recurring project.

Long-term or “recurring”

Recurring projects at Malt are best suited for long-term work, allowing a project to be split and billed over the course of several months, based on the number of months it covers and the number of days or hours worked (e.g. a 4 months project, with 15 days per month at £500 per day).

Malt provides you with a single interface that summarises the work that has taken place over a number of months and centralises all invoices and order summaries in one place. It also ensures a guaranteed daily rate which will be paid at the end of each month, rather than waiting to finish the project in order to get paid. The main difference here is that freelancers must fill in an Activity Report to trigger the payments. It's also important to note that, unlike one-off projects, once the quotation has been accepted by the client, it is impossible for the freelancer to change their daily/hourly rate, their VAT, or their legal status (get in touch with a Malt administrator should you want to make that change).

Freelancers have to fill in all the contract information of a recurring project in addition to the usual details of the quotation:

  • Project start date

  • The frequency (indicative, how many days/hours per month they will work for the client)

  • The length of the project*

  • Their daily/hourly rate (the freelancer has the choice)

*: The length of the project is based on calendar months and not rolling months. It means that if the freelancer begins their project on January 15th and finishes on April 15th, they need to put 4 months in the duration. One invoice will be emitted for each month.

This type of project will follow these steps:

  • The client contacts the freelancer(s) 

  • They discuss the client’s needs and the freelancer sends a quote by choosing the “recurring” option if the client is eligible

  • Once the client accepts the proposal, the proposal officially becomes a project on Malt

  • Every month, the freelancers will be issued an activity report to declare the number of days/hours they have worked over the course of the month; this report will then be approved by the client

  • The freelancers will receive payment a few days after the client’s validation during the entire duration of the project
