In an increasingly digital age, how we work and connect with others is evolving. With both remote work and virtual interactions on the rise, you need to rethink how to build and maintain client relationships. In fact, it's more important than ever to adapt and embrace new methods of building trust, rapport, and long-lasting partnerships from a distance.

As an Agile and Leadership Coach with extensive experience working with executives, I've witnessed firsthand the transformative power of genuine connection and the importance of cultivating lasting partnerships. In this article, I will share some tips for building and nurturing client relationships from a distance, ensuring you thrive in the digital landscape.

Key Challenges of Building Relationships Remotely

The intricacies of remote relationships often stem from the inherent challenge of fostering deep connections when physical proximity is absent. This is due to several factors:

a. Lack of non-verbal cues The latest research says that about 55% of communication is based on non-verbal cues. When we are not in person, we lose the subtle body language, tone of voice, and facial expressions that can relay the concepts that aren’t being said aloud.

b. Communication barriers When talking remotely, you might experience connectivity issues, technical problems, etc. These can impede your ability to communicate effectively, leading to frustration over time.

c. Isolation Many people feel lonely and disconnected after periods of extended remote work. Your clients may also be more demanding to connect with you if they have negative feelings about being alone.

However, navigating these virtual landscapes doesn't mean compromising the quality of your relationship with your clients. But what can you do to combat these circumstances?

Understanding other people’s communication styles can go a long way in fostering a positive culture where relationships can grow and people feel connected. Don’t be afraid to discuss individual working styles and how you best can relate to each other. That takes a certain level of self-awareness but is integral to learning better communication skills.

When dealing with remote communication challenges, focus on learning more about personal communication styles and how to become more compatible. This helps to ensure your client has an opportunity to discuss progress as well as their concerns— and results in better collaboration.

The 6 Communication Styles

Effective communication is essential to any client-consultant relationship, and this holds especially true in the realm of remote relationships where physical proximity isn’t possible. One of the primary challenges comes from different communication styles. When you understand your communication style and that of others, you have a foundation for genuine connection, even in a remote-first setup.

The six commonly recognized styles are:

1. Thinker Characterized by being direct and to the point, thinkers tend to focus on facts and figures, preferring efficiency over building personal relationships.

2. Harmonizer Emphasizes maintaining harmony and consensus, harmonizers are great listeners who are empathetic and focused on creating a positive environment.

3. PersisterFocused on determination and persistence, persisters are intent on achieving their goal and willing to put in whatever effort is required.

4. Promoter Energetic, persuasive, and charismatic promoters are natural influencers who enjoy being the center of attention and are skilled at motivating others.

5. Rebel Characterized by independence and nonconformity, rebels tend to question the status quo and established norms and think outside the box to reach innovative solutions.

6. ImaginerCreative, imaginative, and focused on possibilities, imaginers are known for innovative thinking and often communicate in a way that inspires others.

For independent consultants navigating the landscape of remote work, fostering meaningful client relationships requires a nuanced approach to communication. Take the time to figure out your style and proactively connect with your clients, keeping in mind their communication style to build better rapport.

When it comes to applying these learnings, ensuring regular and clear communication with clients is key — establishing a consistent schedule for check-ins and updates helps build trust and transparency. Make sure to leverage technology to facilitate virtual meetings and collaborative platforms, ensuring seamless interactions. Additionally, demonstrate flexibility and empathy, recognizing the unique challenges that remote work presents for both you and your clients.

Role of Technology in Facilitating Remote Relationships

In addition to understanding your communication style and that of others, you will need to invest in the right tools. Having the right platforms and systems in place can help you connect with your clients as often as necessary.

Consider your main communication channels and where presentations and meetings will be held. Will you use Slack or stick to email? Will you send a presentation in advance or share it in a Zoom session? Which project management tool will you use? For example, if your client prefers email, resist the urge to call them on the phone for minor questions.

Also, as technology evolves, staying up-to-date with the latest advancements is crucial for success. AI tools are a prime example of this rapid technological progress. For example, AI-powered transcription tools like Otter.ai or Rev AI can provide real-time transcripts of virtual meetings, which can be helpful for people who need to refer back to what was discussed in a meeting. Some find it challenging to maintain consistent eye contact during virtual meetings. Fortunately, innovative AI tools, such as Nvidia Broadcast's Eye Contact feature, are emerging to address this issue. By tracking eye contact and head motion, these tools can help individuals develop more natural eye contact, which is a vital component of building personal connections.

No shortage of technology can support your remote efforts, but you need to properly research and choose the ones that are best for you, your client, and the way that you will work together. Indeed, leveraging the right technology can facilitate efficient communication, strengthen collaboration, and nurture a sense of connection, regardless of physical location.
